PRIVACY POLICY

This privacy policy is established by Global Fashion Agenda (fond), Business Registration number (CVR): 41627239, hereinafter “we”, “us” or “our” in this privacy policy.

1. Information about the processing of personal data

Your data security is important to us, and we therefore take great care to ensure that your personal data is handled responsibly. Below you can read how we process personal data about you when we act as data controller. You can also read about your rights in relation to our processing.

2. Our role as data controller

In connection with the operation of our business, we process certain personal data. We do this in order to serve you in the best possible way. We mainly collect and process general (non-sensitive) personal data.

3. What personal data do we collect and why

We process personal data about you in a number of different situations. Read more about our processing in the different situations below.

3.1 Visitors to our website and users of our online services

When you visit our website (https://globalfashionagenda.org/ or https://globalfashionsummit.com/) or use our online services (e.g. registration and download forms), we may process information about your IP address and information about your device and browser.

We also process information about your visit (e.g. how you access and navigate our website, which pages you visit, and how the site performs). Personal data may be collected through cookies, log files and similar technologies (see our Cookie Policy: https://globalfashionagenda.org/cookie-policy/).

We also process personal data you provide to us through forms on our website (e.g. newsletter sign‑up, contact forms, resource downloads or event registration), such as your name, email address, organisation, job title and any other information you choose to provide.

We use this data to operate and improve our website and services, provide the content/services you request, measure and improve user experience, and (where you consent) to personalise marketing and measure communications.

The legal basis for processing is our legitimate interests in making our website and online services available to you (Article 6(1)(f) of the General Data Protection Regulation) or your consent (Article 6(1)(a) of the General Data Protection Regulation and Section 3 of the Danish Executive Order on Cookies).

We retain personal data collected in connection with your visit to our website for as long as necessary for the purposes described above. Where data is collected via cookies and similar technologies, the applicable expiry/lifetime is described in our Cookie Policy (link to: https://globalfashionagenda.org/cookie-policy/).

3.2 Customers

When you purchase a ticket for the Global Fashion Summit, sign up for a masterclass, download a resource, donate, or otherwise use our services, we may process personal data such as name, email, organisation, job title, billing details, participation details and any other information you provide to us. Payment card details are not stored by Global Fashion Agenda; they are processed by our third‑party payment providers.

We process this personal data to deliver the requested service (e.g. registration, ticketing, access to resources, event participation), to manage our relationship with you/your organisation, handle customer service inquiries, administer invoicing and accounting, and – where relevant – to facilitate networking features in the Global Fashion Summit app (name, title and company).

The legal basis is performance of a contract or taking steps at your request prior to entering into a contract (GDPR Article 6(1)(b)), compliance with legal obligations (GDPR Article 6(1)(c)), and/or our legitimate interests in administering and improving our services and events (GDPR Article 6(1)(f)).

We store personal data about service users for up to 5 years after the end of the transaction/event (primarily for accounting documentation, contractual and legal obligations), and longer if required by law.

3.3 Marketing recipients

When you receive marketing communications, including newsletters from us, we process personal data such as your name, email address, organisation, job title and your marketing preferences. We also process information about your marketing or communication preferences, your use of the marketing we send to you (including, for example, whether you have opened an email from us, whether the email has been read and which links you have opened), and any other information you provide to us.

We process this data to send you the communications you requested, including information about Global Fashion Agenda, Global Fashion Summit, masterclasses, publications and other activities. We process your data for the purpose of marketing our company and Services, and for setting up and managing your marketing subscription. We use the data about your preferences and usage to understand the way you receive our marketing messages and to improve our marketing to you and others going forward.

We will only send you marketing material by email, text messages or other electronic means once we have obtained your consent where this is required under the Danish Marketing Practices Act. You can unsubscribe at any time via the link in our emails or by contacting us.

We also use personal data about you to show you content on our and other sites based on your activities and preferences, and to limit the number of times you see the same content, as well as to measure the effectiveness of our content and marketing. For this purpose, we may upload your email address to advertising tools with for instance Google or Facebook for the purpose of sending targeted marketing messages.

Where you consent to non-essential cookies, we may also use cookie-based technologies to measure the effectiveness of our communications and to understand how our website is used. See our Cookie Policy for details.

The legal basis for processing is your consent, (Article 6(1)(a) of the General Data Protection Regulation and Section 10 of the Danish Marketing Practices Act). For limited analytics and security purposes, we may also rely on our legitimate interests (GDPR Article 6(1)(f)).

We store personal data about recipients of marketing communications until you withdraw consent/unsubscribe, and for up to 24 months thereafter to document consent and manage suppression lists.

3.4 Participants in competitions

When you participate in competitions or awards organised by Global Fashion Agenda (including on social media), we may process personal data such as your name, email address, phone number (if provided), your submission and any information you share with us as part of the competition.

We process this data to administer the competition/award, assess submissions, contact participants and winners, and deliver prizes or recognition.

The legal basis for processing is our legitimate interests in running the competition and contacting the winner (Article 6(1)(f) of the General Data Protection Regulation). Where required, we will obtain consent (GDPR Article 6(1)(a)).

We store the personal data collected in connection with the organisation of competitions for up to 12 months after the competition ends, unless a longer period is necessary for documentation of the competition, prize delivery, or legal claims.

3.5 Participants in events

When you register for and participate in events organised by us (including the Global Fashion Summit), we may process personal data such as your name, email address, organisation, job title, ticket/registration details, networking information for the event app (name, title and company), and any practical information you provide (e.g. dietary requirements for catering).

We process this data to administer the event, communicate practical information, manage access and security, and to provide requested services connected to your participation (e.g. networking features).

The legal basis is performance of a contract (GDPR Article 6(1)(b)) and/or our legitimate interests in planning and running events securely and effectively (GDPR Article 6(1)(f)). Where we process special categories of data (e.g. dietary requirements that may reveal health/religion), we only do so where necessary and on an appropriate lawful basis (typically explicit consent).

We store personal data about participants in events (including Global Fashion Summit) for up to 5 years after the event/transaction, and longer if required by law.

3.6 Business partners and/or suppliers

When you are a partner, sponsor, grantor, supplier or other professional contact (or you are a contact person for one), we may process personal data such as your name, work email/phone, job title, organisation and other information necessary for our collaboration.

We process this data to manage our relationship, communicate and deliver agreed activities, administer contracts, invoicing and compliance, and to document our collaboration.

The legal basis is performance of a contract (GDPR Article 6(1)(b)), compliance with legal obligations (GDPR Article 6(1)(c)) and/or our legitimate interests in managing professional relationships (GDPR Article 6(1)(f)).

We store the personal data about business partners and/or suppliers for up to 5 years from the end of the financial year to which the records relate, in accordance with applicable bookkeeping requirements, and longer if required by law.

3.7 Other general purposes of processing

We may enrich the personal data described above with information from other sources. This can be publicly available information – including information that we get from commonly available sources.

Personal information that we have collected for the purposes described above may also be processed  for the purposes of complying with laws and regulations which we are subject to in the course of operating our business or in order to comply with various reporting or disclosure obligations under applicable laws and regulations (Article 6(1)(c) of the General Data Protection Regulation).

If we sell all or part of our business or sell or transfer our assets or is otherwise involved in a merger or transfer of all or a substantial part of our business, we may transfer your personal data to the party or parties involved in the transfer as part of that transaction where permitted by law (Article 6(1)(f) of the General Data Protection Regulation).

Finally, we may process your personal data to enforce or defend our or third parties’ legal rights or legitimate interests, where necessary, objectively and proportionally (Article 6(1)(c) of the General Data Protection Regulation).

4. Disclosure of your personal data to others

We may disclose your personal data to other suppliers and/or service providers in the ordinary course of our business as well as to our group affiliates.

We may also disclose your personal data to a public authority in situations where we are specifically obliged to disclose your personal data pursuant to legislation and notification obligations to which we are subject.

It may for example be necessary to disclose personal data to the following recipients:

 

  • Ticketing and registration providers (e.g. Billetto for Global Fashion Summit ticketing)
    • Payment service providers (via our ticketing/payment partners)
    • Event technology providers (e.g. Global Fashion Summit app/networking tools)
    • Email/newsletter and communications providers
    • Website hosting, IT, security and analytics providers
    • Trusted event service providers where relevant (e.g. travel agent, hotel partner, venues and catering)
    • Business partners co-hosting side events (only where relevant and limited to what is necessary)
    • Professional advisers (e.g. auditors, legal advisers) and public authorities where required by law

 

We try to limit the disclosure of personally identifiable information and thus the disclosure of information that can be attributed to you personally.

We also discloses your personal data to data processors. Our data processors only process your personal data for our purposes and under our instructions.

 

5. Transfer of personal data to countries outside EU/EEA

Some of our service providers may be located in, or process personal data from, countries outside the EU/EEA (so‑called third countries).

Where we transfer personal data to a third country, we ensure an appropriate transfer mechanism is in place, such as an adequacy decision by the European Commission or the use of the EU Standard Contractual Clauses (and, where relevant, supplementary measures).

6. Storage, Data integrity and security

When your personal data is no longer needed, we will ensure that it is deleted in a secure manner.

It is our policy to protect personal data by taking adequate technical and organisational security measures.

We have implemented security measures to ensure data protection for all personal data that we process. We conduct regular internal follow-ups on the adequacy of and compliance with policies and measures.

7. Your rights

As a data subject, you have certain rights under the General Data Protection Regulation. If you want to exercise your rights, please contact us.

You may – unconditionally and at any time – withdraw your consent. You can do so by sending us an email (see email address above). Withdrawal of your consent will not have any negative impact. However, this may mean that we cannot meet specific requests from you in the future. Withdrawal of your consent will not affect the lawfulness of the processing based on consent before it is withdrawn. Furthermore, it will not affect any processing carried out on another lawful basis.

You can also – unconditionally and at any time – object to our processing when it is based on our legitimate interests.

Your rights also include the following:

  • Right of access: You have the right to access the personal data we process about you.
    • Right to rectification: You have the right to obtain rectification of any inaccurate and incomplete personal data about you.
  • Right to erasure (right to be forgotten): In exceptional cases, you have the right to obtain erasure of information about you before the time when we would normally delete your personal data.
  • Right to restriction of processing: In certain situations, you have the right to restrict the processing of your personal data. If you have the right to restrict the processing of your personal data, we may only process personal data in the future – apart from storage – with your consent, or for the establishment, exercise or defence of legal claims, or to protect an individual or important public interests.
  • Right to object: In certain situations, you have the right to object to our processing of your personal data, and always if the processing is for direct marketing purposes.
  • Right to data portability: In certain situations, you have the right to receive your personal data in a structured, commonly used and machine-readable format and to have such personal data transferred from one data controller to another.

8. Updates of our privacy policy

From time to time it will be necessary to update this Privacy Policy. We will review our Privacy Policy on a regular basis in order to ensure that it is updated, valid and in accordance with current legislation and the principles for processing of personal data. We will publish new versions of the policy on our website.

This policy has version no. 2.0 and is valid from 04 March 2026.
